Project Data and Materials Retention Policy

This Project Data and Materials Retention Policy applies to all the projects and operations of United Parts of Chicago, LLC and governs our project data storage policy. For the purposes of this Policy, unless otherwise noted, all references to United Parts of Chicago, LLC include https://crmforyourbusiness.com, “We,” “United Parts,” and “CRM for Your Business” Facebook Page located at https://www.facebook.com/CRMforYourBusiness. This policy aims to ensure clarity and compliance with project agreements while safeguarding both the company’s and the customer’s interests regarding project data and materials.

1. Retention of Data and Materials

  • General Principle: We do not store project data and materials indefinitely. Retention will be based on the terms explicitly outlined in the Statement of Work (SOW) or Service Level Agreement (SLA).
    • Default Retention: Unless otherwise specified in the SOW or SLA, all project data and materials will be purged after the completion, termination, or expiration of the project unless retention is legally required.

2. Intellectual Property Transfer

  • Transfer Commitment: If the development of any intellectual property (IP) is stipulated to be transferred to the customer according to the SOW or SLA:
    • Timing of Transfer: Such IP, including data, designs, logos, pictures, diagrams, or any other materials, will be transferred to the customer:
      • At the end of each relevant sprint, if the project is structured with sprints, or
      • At the conclusion of the entire project if no sprints are involved.
    • Method of Transfer:
      • All digital files will be transferred via secure means ensuring data integrity and confidentiality.
      • Physical materials, if any, will be handed over or shipped with a confirmation of receipt.

3. Exceptions

  • Any exceptions to these policies must be explicitly documented in the SOW or SLA. If no such documentation exists, the default policy applies and we can delete any historical or unused data at our own discretion at any time. 

4. Data Privacy and Security

  • All data handling, storage, and transfer will comply with applicable data protection laws and regulations. During the retention period, we ensure that:
    • Data is stored securely.
    • Access is controlled and logged.
    • Data is encrypted in transit and at rest where sensitive.

5. Review and Compliance

  • This policy will be reviewed annually or whenever there are significant changes to the business, legal environment, or technology affecting data retention and IP management.
