Zoho Implementation

That Doesn't Bill by the Hour

You know what needs to be built. We scope it, price it, and deliver it at a fixed budget. You don’t pay while we work, because we don’t count hours. You review what we deliver at each stage and only approve what meets your requirements. Every deliverable, timeline, and budget is written into the Statement of Work.

We implement Zoho One, Zoho CRM, Zoho Books, Zoho Inventory, and 40+ Zoho apps, build custom integrations with any platform that has an API. Our sprint-based model means you see working results at the end of each sprint — not a bill at the end of each month.

Our Zoho certified consultants engage at whatever phase is appropriate: new implementation, expansion of an existing setup, or rescue of a previous one that didn’t deliver.

The Challenge

Why Many Zoho Implementations Go Wrong

There are two common paths to a Zoho implementation, and both have the same failure mode.

The first is DIY. You sign up for Zoho One, configure CRM, and things look promising — until you need automations between apps, data migration, or custom logic the default settings don’t support.

The second is hiring a consultant who bills by the hour. The scope grows, the estimate becomes a floor, and the incentive structure is misaligned: the longer it takes, the more they earn.

We chose a third path. Our Zoho implementation process starts with a discovery phase — before the Statement of Work, before any billing begins.

This phase eliminates the unknowns that cause scope creep. The result is a detailed SoW with a fixed budget per sprint. If something takes us longer than we estimated, that’s our problem, not yours.

What You Get

What You Get from a Zoho Implementation with Us

A system that matches your business

Your Zoho platform will reflect how your team actually works — not how Zoho works by default Every module, field, and automation exists because your business needs it.

Clean data, not migrated mess

Whether from QuickBooks, Salesforce, HubSpot, or spreadsheets — we validate, deduplicate, and map your data before it touches Zoho. Some clients need a "fresh start." We'll tell you which path is right.

Automations that eliminate manual work

A deal closing in CRM triggers a Sales Order order in Zoho Books. A Zoho Desk support ticket feeds your Zoho Analytics dashboards. Zoho Flow orchestrates custom logic. These automations are built as part of every implementation.

Training that creates internal expertise

Not generic webinars — walkthroughs of your specific setup, your data, your workflows. Your team operates independently from day one. See our tiers for post-engagement technical support. For the complex projects, we offer a full-scale user- and developer-level documentation in any format you prefer.

Proven Results

Zoho Does Not Assign Advanced Partner Tier Lightly

Our Zoho implementations span industrial distribution, wholesale, fintech, consulting, retail, and more. Many of the projects below have been recognized by Zoho Corporation as official Customer Success Stories. Each started with a discovery phase and was delivered at a fixed budget. We Live What We Preach

We aren’t just a Zoho Advanced Partner, we’re Zoho users ourselves. We run 35+ Zoho apps internally: Zoho CRM manages our pipeline, Zoho Books handles our accounting, Zoho Desk powers our helpdesk, and Zoho Projects with Zoho Sprints tracks every task you see us deliver. Our team collaborates in Zoho Cliq, signs contracts via Zoho Sign, and processes payroll through Zoho Payroll. When we recommend a workflow or an integration, it’s because we’ve run it in production on our own data first.

How We Work

The Lean Agile Approach

1

Discovery

We assess your business by understanding your requirements, processes, and goals. This identifies the most effective Zoho solution for your operations.

2

Analysis

Our consultants draft the implementation plan and Statement of Work. The SoW includes a fixed, transparent budget for each sprint.

3

Process Mapping

We align your business processes with the Zoho platform, leveraging native functionality and building custom logic only where genuinely needed.

4

Deployment

We configure, customize, and integrate the Zoho applications. Late changes are welcomed into the backlog — the Lean Agile approach accommodates them.

Closing

Hands-on training, documentation, and knowledge transfer. Your team operates independently. Ongoing support transitions to a pay-as-you-go or retainer-based SLA.

Pricing

We work on value-based budgets. Every project starts with a discovery phase that eliminates unknowns, allowing us to quote a guaranteed price — not an estimate that balloons later.

What Drives the Cost?

  • 1
Number of Zoho apps being configured
A standalone Zoho CRM instance is simpler than a complex combination of Zoho CRM, Zoho Books, Zoho Inventory, and multiple third-party integrations.
  • 2
    Automation complexity
Standard workflows like “create a task in Zoho CRM when a deal closes” vs. custom Deluge functions, servlets, and multi-step Zoho Flow triggers.
  • 3
    Data migration scope
A “fresh start” in Zoho Books at the beginning of the financial year is faster than migrating 15 years of corrupted QuickBooks data.
  • 4
    Third-party integrations
WooCommerce, Twilio, EDI, or proprietary backends. It’s one thing to integrate Zoho CRM and Zoho Books via the native integration, and quite another to build a custom EDI connector between Zoho Books and TrueCommerce.
  • 5
    Team size and training depth
Training 3 people is different from training 100.
  • 6
    Documentation level
Making a few SOPs for the skilled administrator is different from creating an internal knowledge base with developer-level documentation.

What Doesn't Affect the Budget

  • The number of questions you ask during discovery. These are part of how we work — they don’t increase the price.
  • The number of interactions during the sprint: emails, Cliq messages, calls — we don’t count them while we’re working with you.
  • The scale of the client’s business affects the price less than one might think.
If you need complex automation across multiple applications, we’ll quote a solo proprietor and a nationwide business almost equally, because it takes the same effort regardless of the client’s scale of operations (besides the training part). Hence our recommendation: do not overautomate!

What Our Clients Say

Frequently Asked Questions

Zoho Implementation FAQ

Do you work with businesses outside Chicago?

Of course. We’re based in Deerfield, IL and work remotely with clients across the U.S. and internationally.

What happens after the Zoho implementation?
Most Zoho platforms require post-engagement technical support due to their complexity and the nature of SaaS products. You are welcome to use any of our Zoho support plans — no hour blocks, pay-as-you-go, or a monthly, non-locking retainer. Your team will be trained to operate independently.
Do I need Zoho One, or individual apps?

Zoho One ($37/user/month, all employees) is typically more cost-effective if you need 3+ apps regardless of the team size. We’ll determine the best licensing model during discovery. See all 45+ Zoho One apps →

Can I migrate to Zoho from QuickBooks, Salesforce, or HubSpot?
Yes. We help our customers to migrate from QuickBooks Desktop, Salesforce, HubSpot, ACT!, and spreadsheet-based systems. We’ll recommend either a full migration or “fresh start” based on your data quality and complexity.
How long does a Zoho implementation take?
There’s no way to tell because each Zoho implementation is different. From our experience, an average timeline ranges from 1-2 weeks for basic Zoho CRM implementation to 3–6 months and more for complex implementations, custom integrations, and multiple processes to map and support. Sprint-based delivery means you see working results at the end of each sprint, but the number of sprints depends on the complexity.
What are the key considerations for a successful Zoho implementation?

Successful Zoho implementation involves several key factors:

  • engaging in a thorough discovery phase to align expectations
  • understanding the complexity of business processes
  • working with Zoho certified consultants
  • signing appropriate contracts
  • clearly defining your goals and objectives
  • considering the Agile methodology to remain adaptable throughout the process.
  • Viewing IT work as a critical investment rather than a low-cost option
Zoho Partners promote and support Zoho apps. Do you run your business on Zoho apps?

A big, fat “Yes.” As a proud Zoho Partner, United Parts of Chicago exclusively runs on Zoho. We follow the principle of “walking the talk.” While we’re not required to rely solely on Zoho, nor are we bound by any agreements to avoid other software, we choose this path for a reason.

By fully leveraging Zoho, we engage in the same experience as our customers, which allows us to effectively communicate our needs, report any bugs, and share customer feedback directly with the Zoho development teams. If you’re walking your customers’ shoes daily, you automatically provide better service for your clientele.

There are a few specific areas where Zoho doesn’t provide solutions; in such cases, we turn to other excellent software options.

How Much Does a Zoho Implementation Cost?

We published a whole article on that matter. To summarize: it depends on the scope, which is exactly why we start with a discovery phase before any quoting. A standalone Zoho CRM setup for a small team can start in the low thousands; a multi-app Zoho One implementation with data migration, custom integrations, and team training for 50+ users will be significantly more. Every project gets a fixed-price Statement of Work after discovery — no hourly surprises. For context, our current ad hoc consulting rate is $150/hour (March 2026), but implementation projects are always scoped and priced as fixed-budget engagements. Read what drives the cost, or book a Clarity Call for a rough estimate based on your situation.

Our Zoho support plans are priced separately, on the case-by-case basis.
