While it might be confusing (why have those different Zoho One apps, after all?), the reason is simple: Zoho Marketing Automation shines if the business needs a less configurable but simpler platform. So in this case, the overlapping functionality is an advantage, not redundancy.

Zoho Sprints is a project management tool designed in the Agile paradigm. It supports iterative development, collaboration, and adaptability. The key features include:

Zoho Connect is an interesting application, used mostly by the businesses with enough employees to warrant the use of a "private social network." For example, Zoho uses Zoho Connect to power its Partner network's social hub. 

Zoho Connect facilitates effective communication through tailored feeds, company walls, announcements, polls, bookmarks, mandatory reads, drafts, scheduled posts, questions, pinned posts, likes, comments, shares, @mentions, notifications, forums, and topics. It also offers profiles, a people directory, an organizational chart, one-on-one conversations, channels, private messages, and translation features.

Besides internal communications, Zoho Connect can be successfully employed to maintain communications with the external audience ("external network"), thus creating a powerful social hub for your customers, fans, and other motivated outsiders.

Zoho Learn

Zoho Learn is a learning management system (LMS) that creates and organizes a knowledge repository with learning materials and tracks progress. It forms a central source of knowledge so teams can access valuable information and resources from the same place. Here’s a detailed breakdown of what Zoho Learn offers: 

  • Knowledge Management: It allows for the creation of a central knowledge source. Information can be organized into manuals within spaces, which creates a structured hierarchy. Related articles can be grouped into chapters. Flexible permissions allow control over access.

Zoho TeamInbox

Zoho TeamInbox is a tool for simplifying group email management. A part of Zoho Mail, Zoho TeamInbox helps organize shared inboxes and manage conversations efficiently. Here’s a breakdown of its key features:

  • Inbox Management: It helps maintain a clean, clutter-free inbox using an intuitive user interface. Thread ownership can be delegated to keep teams informed about who is handling each work item. Threads can be snoozed for later follow-up. Shared tags can be used to sort and group relevant conversations. Users can follow threads to stay updated via in-app notifications. 
  • Personal and Shared Inboxes: both personal and shared inboxes can be configured within Zoho TeamInbox. Personal sender addresses can be used when sending emails from the personal inbox. Private entities like tags, rules, and templates can be created for personal inboxes. Specific private emails can be shared with teammates via @mentions.
  • Automation: workflows help improve routines and simplify processes. Rules can be set to automate actions based on specified conditions. Consistent signatures can be created for the entire team. Incoming emails can be automatically assigned to team members. Email templates can be created for quicker replies.
  • Collaboration: internal discussions can be conducted directly within email threads. Email replies can be co-authored in real-time. New hires can be assigned an observer role to learn processes without immediately answering emails.

Zoho Notebook

Zoho Notebook is a digital notebook, a pocket-sized note-taking app that syncs to the cloud and across devices—an alternative to Google Keep and Evernote if you will. It has many useful features, like handcrafted covers, color-coded note cards, gestures, secure sharing, passcodes, and Touch ID for added security. As is expected for such an app, Zoho Notebook Essential is free, while Zoho One users enjoy the far more extended Business version.

Finance

Zoho’s finance applications listed here can also be licensed separately (i.e., Zoho Books alone) or as the Zoho Finance Plus bundle. There’s also a free version of Zoho Books for solopreneurs and micro businesses. All Zoho Finance applications share the same organization profile settings and allow multiple (but separate) organizations.

Zoho also offers its payment gateway, Zoho Payments, to process credit card and ACH payments. It has lower transaction fees than Stripe or other competitors.

Zoho Books is one of the most popular Zoho One apps because it's an online accounting software, and every business needs accounting. Zoho Books directly competes with QuickBooks, FreshBooks, and Xero. It's available on mobile and desktop, allowing users to access their accounts anytime and anywhere. One of our customers, a large distribution business from Pennsylvania, is one of the biggest Zoho Inventory users in the U.S., running a stock of over 10K items solely on the Zoho platform since 2020.
